This article outlines how to add new data into CAMS using the Data Import Template. It covers where to find the template, how to format your data, and how to manage any issues during the import process.
For Admins or Editors
Step-by-step: Adding new data
-
From the homepage, select the module you want to view. This will open the relevant data set.
-
In the left-hand menu, open the Hierarchy tab and select the level you want to add data to.
-
Click the drop-down arrow beside that level and choose Add New Data.
-
Select Data Import Template to download the Excel file.
-
Open the template in any compatible spreadsheet program and complete the fields. Ensure all required fields are filled in.
-
Save your completed file.
-
Back in CAMS, click the Import button under the Data Import Template button to upload the file.
-
CAMS will scan the file and show any detected errors in a pop-up window.
Fixing errors
-
If there are errors, select the Correction Sheet button to download a file named
ValidatedData.xlsx. -
This file will highlight the issues in red. Review the guidance provided in the sheet and make the necessary changes.
-
Save the corrected file and re-upload it using the Import button.
-
Repeat the process until all errors are cleared.
Once your file is error-free:
-
Click Import Data to confirm and upload the data.
-
A success message will appear in the bottom-right corner of the screen.
-
You can review your data in the Data Explorer.
Additional Tips
-
Use the correct format for each field. Field requirements are defined in the Level Configuration.
-
Always start with a fresh template for each import to avoid structural issues.
-
Some fields (e.g. unique IDs or codes) must contain distinct values. These requirements are set based on the system configuration and client setup.
Common Issues
Incorrect template
If the uploaded file does not match the expected format, the system will not accept it. Download a fresh template and transfer your data into the correct structure.
Duplicate entries in required fields
Certain fields must be unique. If duplicates are found, they will be flagged in the error sheet. You’ll need to adjust these before proceeding.
